Who we are
Viaxo provides configured apps to schools, alternative provisions and SEND settings. For the enquiry and account data you give us directly, we are the data controller. For the data your organisation processes inside your app, you are the controller and we act only as a processor on your documented instructions.
What we collect
Account and enquiry data: name, work email, organisation, role, the build brief you submit, referral details and correspondence.
Technical data: log data, device and browser information, and basic usage analytics used to keep the service secure and working.
We do not ask for, and you should not send us, special category data, safeguarding records or learner data through enquiry forms.
Why we use it
To quote for, build, host and support your app, to administer your account and invoices, to prevent misuse, to meet legal obligations, and to send service messages. We rely on contract, legitimate interests and legal obligation as our lawful bases. Marketing emails are sent only where we have a lawful basis to do so, and you can opt out at any time.
Sharing and retention
We share data with the suppliers who help us run the service, including hosting, database, email and app store providers, under appropriate contractual terms. We do not sell personal data.
We keep account and billing records for as long as your licence is active and then for as long as we are legally required to. Data inside your app is retained and deleted according to your own retention policy and your instructions.
Your rights
You have the right to access, correct, erase, restrict or object to the processing of your personal data, and the right to complain to the Information Commissioner's Office. Requests relating to data inside your app should go to your own organisation, as controller, in the first instance.
Security
We take reasonable technical and organisational measures to protect data, but no system is perfectly secure and we cannot guarantee absolute security. You are responsible for controlling access within your organisation and for the accuracy of the data you enter.
